What

  • Schema (0054): contacts (per tenant, version optimistic lock), application_contacts (who is on which application, with their part in the process), app_notes (append-only dated log). All tenant-scoped, cascading with the user, application or contact.
  • API (additive): GET/POST /api/contacts, GET/PUT/DELETE /api/contacts/{id} (PUT takes ?expected_version=, 409 on a stale one); GET/POST/DELETE /api/apps/{name}/contacts (link an existing contact or create one inline); GET/POST/DELETE /api/apps/{name}/notes. /api/apps/{name}/history now includes notes as kind: "note" (text in note), and existing entries keep their shape.
  • Encryption at rest (Encrypt sensitive columns at rest, secure by default for every deploy #117): contact email, phone, profile link and notes, plus every note body, are sealed with SecretProtector. The startup sweep covers them so a key rotation re-keys them. A value the instance can't open is read as blank or left out, so it doesn't break the read.
  • Least privilege: the three tables are revoked from applytrack_agent. The poller never had them.
  • Export/import: v2 gains contacts, application_contacts and notes, and older importers ignore them. On import, a contact with the same name and email as an existing one overwrites it, so re-importing adds nobody twice. Notes and links replace those of the apps the file brings, as interviews do. A file without these sections leaves them alone. Contacts are validated before the transaction opens. [SEC] Résumé PDF upload and account import: unbounded parse, chunked bodies skip the size gate, no rate limit #344 caps apply. The shared list never carries any of it.
  • UI (build-free, WCAG 2.2 AA): the sheet gains People (add someone new or pick a known contact, role suggestions via datalist, inline edit saved under its version with a 409 message, remove) and Notes log (newest first, remove). Notes appear in the timeline.
  • Back-compat: the application's own contact/contact_email fields are unchanged. Attachments remain a later item.
  • Retention: contacts and notes are user data rather than growing audit logs, so they are not swept. They go when the application, contact or account is deleted.

Tests

  • ContactsNotesTests: CRUD with the version flow; validation (name required, http(s) link only, caps); link, re-link, unlink and cascades; inline create leaves nothing orphaned on 404; notes and the timeline merge; sealed-at-rest plus rotation sweep; cross-tenant isolation; export/import round trip twice (idempotent) plus a file without the new sections; a bad contact refuses the import before anything is written.
  • DbRoleTests: the agent role is denied contacts and app_notes.
  • Playwright: People add, edit and remove, and the notes log with its timeline entry, with axe checks.
  • Local: dotnet test 1141 passed; npm run test:web passed; ruff, mypy, bandit and pytest clean.

…ts (name, email, phone, job title, company, profile link, notes; version-locked with the ?expected_version= 409 flow) kept once per tenant and linked to applications with their part in the process (application_contacts), and an append-only notes log (app_notes), migration 0054; /api/contacts CRUD, /api/apps/{name}/contacts and /api/apps/{name}/notes, the log joining /history as kind note; People and Notes log sections on the sheet; contact email, phone, profile link and notes and every note sealed at rest and covered by the rotation sweep, and revoked from the agent role; contacts, links and notes travel in the export and the import restores them, a contact matched by name and email so a re-import adds nobody twice; the application's own contact fields stay (#360); 1.65.0

📝 Summary

Summary by CodeRabbit

  • New Features
    • Manage contacts with details such as email, phone, company, and profile link, and link them to applications with application-specific roles.
    • Add dated notes to applications; notes also appear in the application history.
    • Include contacts, application links, and notes in account exports and imports.
  • Improvements
    • Contact details and application notes are encrypted at rest.
    • Contact updates detect conflicting edits and report when another change has intervened.

Walkthrough

The change adds tenant-scoped contacts linked to applications and dated application notes. It adds API routes, account snapshot support, an application-sheet interface, encryption and agent-role restrictions, and tests for these behaviors.

Adds tenant-scoped tables and repositories for contacts, application links, and notes. The repositories validate and normalize fields, protect sensitive values at rest, and support export and import operations. The agent database role is denied access to the new tables.
API routes and account snapshots
api/ApplyTrack.Api/Endpoints/ContactsEndpoints.cs, api/ApplyTrack.Api/Endpoints/AppsEndpoints.cs, api/ApplyTrack.Api/Endpoints/AccountEndpoints.cs, api/ApplyTrack.Api/Program.cs, README.md
Adds contact and note routes and merges notes into application history. Account snapshots include contacts, links, and notes; imports merge contacts and replace notes and links when those sections are present.
Application contacts and notes interface
api/ApplyTrack.Api/wwwroot/app.js, api/ApplyTrack.Api/wwwroot/app.css
Adds People and Notes sections to the application sheet. The interface supports contact creation, selection, editing, linking, and unlinking, and note creation and removal. Note entries also appear in status history.
Feature validation and release records
api/ApplyTrack.Api.Tests/ContactsNotesTests.cs, api/ApplyTrack.Api.Tests/DbRoleTests.cs, tests/web/accessibility.spec.js, BACKLOG.md, api/ApplyTrack.Api/ApplyTrack.Api.csproj, pyproject.toml, src/applytrack/__init__.py
Adds API and browser tests for contact and note workflows, encryption, tenant isolation, permissions, and snapshot import/export. Marks the backlog item complete and updates the project version to 1.65.0.

Merge Risk: 🟡 Moderate · up to 0c43d

Resolve the import case before merging: it can remove existing application-contact links from an accepted file. A failed unlink also leaves the action stuck without an error message.

Security Architecture Review

Security architecture risk: 🟡 Moderate · up to 0c43d

Authentication, tenant scoping, encryption on normal writes, and database-role restrictions are in place. However, a partial snapshot can remove contact associations, and key rotation may overwrite a concurrent contact edit. An inline create-and-link operation can also retain a contact when linking fails. These are bounded to an affected account, but matter for personal-data integrity and lifecycle.

Retained concerns

  • Medium · reliability · observed: An accepted snapshot containing applications and contact links but no contacts deletes those applications' existing links and restores none. This can silently lose personal-data associations rather than preserving an absent contact section or rejecting unresolved references.
  • Medium · security · inferred: If another instance serves contact edits while the owner runs the encryption sweep, its read-then-update can restore an older field value after an edit. The sweep neither compares the selected ciphertext with the current value nor advances the contact version.
  • Low · reliability · inferred: Inline creation commits a contact before linking it to the application. A link failure or application-deletion race can leave encrypted personal data in an unlinked contact despite the failed operation.
Security review details

Security Blast Radius

  • inferred — The identified integrity and lifecycle outcomes affect data within an authenticated tenant. The rotation sweep traverses the new encrypted columns across tenants, so a concurrency flaw need not be confined to one request; no cross-tenant API read or write path was established.

Security Findings and Attack Paths

  • inferred — An authenticated account importer, including a permitted write-token importer, can submit applications and contact-link references without contacts. The resulting committed replacement removes existing links for those applications. No retained Security finding verifies a broader attacker path.

Trust Boundaries and Controls

  • observed — The agent role's migration explicitly revokes access to contacts, application contacts, and notes after its general SELECT grant. The deferred test evidence checks denial for contacts and notes, but does not independently check application contacts; that test gap is not evidence that the migration grants access.
  • observed — Attacker-supplied application names and note IDs remain subject to server-derived tenant predicates in note reads, insertion lookup, and deletion. The application sheet escapes returned note text before inserting it into HTML.

Resilience and Maintainability Implications

  • inferred — The sweep's key-migration work can be resumed, but its unconditional row update does not preserve a newer concurrent contact value or the version-based edit signal. This matters only if another writer can serve the affected tenant during the sweep.

Hardening Proposals

  • proposed — Require resolvable contact references before replacing links, and make inline contact creation and linking one transaction or remove the new contact on a failed link.
  • proposed — Make rotation updates conditional on the selected old value, or serialize the sweep with contact writes; verify previous-key retention and unreadable-row counts before retiring an old key.

api/ApplyTrack.Api/Endpoints/AccountEndpoints.cs (2)

244-248: A notes-only or links-only file is refused as empty.

The empty-file check at line 191 counts Contacts, but it does not count Notes or ApplicationContacts. ReplaceAsync and ReplaceLinksAsync only act on the applications in the file, so a file needs applications for those sections to have any effect. This mismatch is harmless today. However, the error text "no importable data" does not match the documented behavior. No change is required. Consider adding a comment that states this dependency.

…he file doesn't carry is refused before anything is written, rather than clearing the apps' people; the sheet's contacts load only their own links; a failed Remove re-enables its button; the agent role test checks application_contacts too (CodeRabbit on #388) (#360)
