Owner

What

  • Admin CLI in the api image (no admin HTTP API, on purpose): dotnet ApplyTrack.Api.dll admin users | usage [<user>] | allow <user> [note] | disallow <user> | disable <user> | enable <user>. <user> is an id or email (citext). Runs in the api container with the owner's connection; under the agent's or poller's role it stops with a clear "run it with the owner's connection" (42501). Exit codes 0 / 1 (not found, DB error) / 2 (usage).
  • usage: per account — applications, cover letters, agent evidence rows and screenshot bytes, live sessions, last sign-in, last seen, last poll.
  • Last poll is new: migration 0052_last_polled.sql adds users.last_polled_at; the poller stamps it after each tenant's finished pass (full, ATS-only, drain, --tenant), best effort so an unmigrated DB never fails a poll. poller_role.sql grants UPDATE (last_polled_at) on users and nothing more.
  • disable made real for the agent too: the worker's fan-out and the submit-queue claim now require users.status = 'active' (sessions, API tokens, sign-in links and the poller already did, [SEC] Hardening grab-bag: hash session IDs, honour users.status, sign-out-everywhere, per-tenant LLM rate limit, board-slug validation, userinfo in logged LLM URL #346).
  • Runbook docs/operations.md: backup = pg_dump -Fc plus custody of APPLYTRACK_SECRETS_KEY / the generated key file (without it the sealed columns are unrecoverable); compose and quadlet commands; restore with --no-owner --no-privileges and the api recreating applytrack_agent/applytrack_poller and their grants on boot; the retention sweep on an old dump; re-applying disables made after the backup; a quarterly restore drill against a throwaway Postgres. README gets an "Operating an instance" section; the allowlist SQL is replaced by admin allow; quadlet README links the runbook.

Tests

  • AdminCliTests (Testcontainers): users listing, allow/disallow by id and by any-case email, disable signs a live session out and enable restores it, usage counts and timestamps per tenant, unknown account/command exit codes, the poller role can stamp last_polled_at but the CLI refuses it.
  • AgentWorkerTests: a disabled, allowlisted, enabled tenant is never judged and its queued run is never claimed.
  • test_poll.py: a finished pass stamps, a failed one does not, a failing stamp never fails the poll.
  • Local: dotnet test 1113 passed / 2 skipped; ruff, mypy, bandit, pytest green.

Version 1.63.0 (csproj, pyproject, __init__, uv.lock). BACKLOG ticked.

….dll admin users|usage|allow|disallow|disable|enable, run with the owner's connection (the agent's and poller's roles are refused); usage gives per-account applications, letters, evidence rows and bytes, live sessions, last sign-in, last seen and last poll, which the poller now stamps in users.last_polled_at (0052, a column grant to applytrack_poller); the agent skips a disabled account's passes and queued runs; docs/operations.md is the backup & restore runbook — pg_dump plus the secrets key, compose and quadlet, restore, retention on an old dump, a restore drill (#358); 1.63.0

📝 Summary

Summary by CodeRabbit

  • New Features
    • Added an admin command-line tool to list accounts and usage, manage auto-apply access, and enable or disable accounts.
    • Added a last-polled timestamp to account usage information.
  • Bug Fixes
    • Disabled accounts are no longer selected for automated processing or queued runs.
  • Documentation
    • Added self-hosting guidance for account administration and backing up and restoring the database and encryption key.

Walkthrough

The API adds an admin CLI for account management and usage reporting. Poller code records completed poll timestamps. Agent selection and submit-queue claims now require active accounts. README and operations documentation describe CLI use and backup and restore procedures.

Changes

Operator administration and tenant activity

Layer / File(s) Summary
Record completed poll timestamps
api/ApplyTrack.Api/Migrations/0052_last_polled.sql, api/ApplyTrack.Api/Migrations/Always/poller_role.sql, src/applytrack/db.py, src/applytrack/worker.py, src/applytrack/cli.py, tests/test_poll.py
A nullable users.last_polled_at column is added, and the poller role can update it. Successful tenant polls stamp the timestamp; failed polls and timestamp-write errors do not change the poll result.
Add admin CLI commands
api/ApplyTrack.Api/Admin/AdminCli.cs, api/ApplyTrack.Api/Program.cs, api/ApplyTrack.Api.Tests/AdminCliTests.cs, api/ApplyTrack.Api/ApplyTrack.Api.csproj, pyproject.toml, src/applytrack/__init__.py
The API dispatches admin commands before web-host startup. The CLI lists accounts, reports per-account usage, changes allowlist entries, and enables or disables accounts. Tests cover command results, account resolution, session invalidation, usage fields, and poller-role permissions. Version declarations change to 1.63.0.
Require active accounts
api/ApplyTrack.Api/Agent/AgentWorker.cs, api/ApplyTrack.Api/Data/SubmitRequestRepo.cs, api/ApplyTrack.Api.Tests/AgentWorkerTests.cs
Agent selection and submit-queue claims require an active user. A test checks that a disabled tenant is not judged and its queued request is not claimed.
Document instance operations
README.md, docs/operations.md, deploy/quadlet/README.md, BACKLOG.md
The documentation describes CLI commands, account status, poll timestamps, and backup and restore procedures. The README replaces direct SQL allowlist instructions with CLI commands, and backlog item #358 is marked complete.

Merge Risk: 🟡 Moderate · up to 1b9b3

Enforce the owner-only CLI restriction before merging. Also correct the production restore instructions so operators do not follow a key-restoration command that fails.

Security Architecture Review

Security architecture risk: 🟡 Moderate · up to 1b9b3

The new commands can change any account’s status and auto-apply eligibility, so access to the owner’s database connection is consequential. The new checks reduce work started for disabled accounts, but work already selected or claimed can continue. Deployment access to the owner connection has not been established.

Retained concerns
No architecture-level concerns identified.

Security review details

Security Blast Radius

  • inferred — Possession of the owner database connection makes the CLI instance-wide: its queries list accounts and usage, and its commands can change any resolved account’s status or allowlist membership. The available deployment evidence does not identify every person or process able to obtain that connection.

Security Findings and Attack Paths

  • inferred — The deferred CLI candidate does not establish an introduced attack path: its reachability and controls lack a valid verification receipt. Source evidence limits status mutation to a database role with the required grants, but does not settle owner-credential access in every deployment.

Trust Boundaries and Controls

  • observed — The poller has narrow users-column grants and the agent lacks users.status update permission. The agent’s pre-existing SELECT ON ALL TABLES grant nevertheless covers the new users listing, contrary to the runbook’s blanket statement that its role cannot read accounts; that role already had direct database read access before this PR.

Resilience and Maintainability Implications

  • inferred — Disable is an admission check, not immediate cancellation: a selected tenant can continue evaluation, and a claimed request can reach browser submission after status changes. Re-enqueued work remains in the queue but cannot be newly claimed while disabled; enabling the account can make it eligible again. The in-flight gap was already possible before the PR’s added predicates.

Hardening Proposals

  • proposed — If disable is intended to revoke in-flight submissions rather than prevent new admissions, define that contract and enforce status again before the external submit action, with an explicit policy for claimed and re-enqueued work.
  • proposed — Clarify the runbook’s agent-role read-access statement and verify who can execute the API image with owner credentials in supported deployments.

…d — the agent's role can SELECT every table, so `admin users` would otherwise list accounts from the agent container; the runbook restores the key per deploy shape — production compose only through .env.production, since its containers are read-only with no key volume (CodeRabbit on #386) (#358)
